Financial Hold because of W9 Form
Last week CJ requested W9 Form, and I fax them right away. Yesterday, they email me saying they haven't received it and put my account on hold. When I contact them they say due to high volume it will take 3-4 weeks to process my W9 and in the mean time my account is still on hold. This is really frustrating since I'll miss this month payment. Anybody have the same problem ?

Hope not. I sent it out, then called a couple of weeks later and they said it hasn't gone thru the system yet.

And what did CJ expect when they sent the notice out to everyone at the same time? You'd think that they would have been better prepared.

I just looked carefully through my regular email and my CJ internal email and I don't see any request for W9 in either one (starting from the beginning of Oct, since several people reported receiving the email around Oct 12).

Did you receive the request by regular email or CJ internal and what was the subject? I get emails all the time from CJ but they're usually "What's hot from CJ Advertisers" and CJ Wire newsletters and new Advertiser promotions. I get so much (non-spam) email to this account, because I have so many merchant partners, that I have to skim over a lot of it if the subject line doesn't say something important enough to warrant a look.

Is there something in the CJ Account Manager that would show that they are missing someone's W9 after this particular request? I faxed my original one to CJ years ago right after I joined, and have never been asked for another one. One thing I can't afford right now is to have a CJ payment delayed a month or more for something stupid like a request for information they already have. Especially as one of my best merchants on CJ recently screwed up and is now a month behind on payments.

On September 4, 2007, I received the following email from Commission Junction:
    To Whom it May Concern,

In reviewing your account we have found that we do not have a W-9 on file.

For your convenience, a link to the IRS website is given below where you can find a blank W-9.

    http://www.irs.gov/pub/irs-pdf/fw9.pdf

Please print, fill out all the proper information, and fax page one only to (818) 879-5284. If you wish to use USPS please send to:

    Commission Junction
30699 Russell Ranch Road Ste 250
    Westlake Village, CA 91362

Please be sure to indicate your Commission Junction account number where it says "List Account Numbers Here." Additionally, please write "BY REQUEST" on the top of the page.

Thank you in advance for your prompt attention to this matter.
The subject line of the email was my 6 digit account number that appears on the top right side of the CJ Account Manager, followed by "W-9."

FWIW, I have received similar communications by regular mail from other payors this year, all of whom have had a W-9 for me for years.

"Did you receive the request by regular email or CJ internal and what was the subject?"

Both regular email and CJ mail. The CJ mail will be from Client Services with W9 as the subject.

I received the request by both regular email and CJ email. The request in regular email was like Snowman said, referencing my CJ ID# and "W-9". The one through CJ email only referenced "W-9".

I also received the request in Sept. thru regular email and was very suspcious of it --

The address and/or fax # within the email to return the w-9 cannot be
found on the CJ site anywhere. And, there was no "dept" to send it back to under "attention".

So, I used "ask a question" to check and see if the acctg. dept. was really requesting w-9's -- I have been with CJ since 1999 and have been receiving payments and 1099's with No problem for many years.

I received a quick reply that -- Yes, they indeed are requesting updated w-9's and was given a different address (with a dept.), a fax # and / or an email address to send a physically signed form that had been scanned (in PDF format) back to CJ.

If anyone would like the above info, PM me -- not sure if it would be okay to post it live on the forum.

After scanning a signed copy and emailing it, I sent a followup response on the Ask a Question that was kind of "snotty" about my September payment -- asking if they received my W-9 okay and if I would receive my Sept payment as usual -- Since, in the past whenever CJ requests something they put your account on hold for a month or two --

Anyway, received a response back that "yes they received my w-9" and Sept. payment will be sent as usual.

Again -- if you would like the "send back w9 info", pm me and I will send it to you via PM.

I was suspicious too at first until I got the one thru the CJ mail.

You can also give them a call:

    http://www.cj.com/about/contact.html

I called a couple of weeks after I sent it out. I believe I tried the Westlake number first on the bottom but couldn't get a human being so I tried the U.S. one in Santa Barbara and asked to be connected with Client Services. And then I got a nice human being.

I was suspicious because the email said To Whom It May Concern instead of my name. Usually the bad ones use the To Whom........ But like I said, after I got the one thru CJ mail, I didn't have a problem with it.

I also gave them a call after I received it. Mainly to find out why they needed it again and to see if I would be getting a payment for last month. The reply was that they either didn't have it on file or that they wanted to make sure everything was up to date. I told them I had one on file in another CJ account but they said that wouldn't do. The girl was nice and helpful.

She said the payment would still be sent out but to get the form in ASAP and that I had a little bit of time before there would be any problems. I did have it faxed to the number in the email this week so hopefully I am all set for next month. I would be ticked if they held up a payment because they don't have the man power to process all of the ones they requested. JMO of course!
